How to Import a Bank Statement into QuickBooks (PDF, CSV & QBO)

QuickBooks is happy to import your bank transactions — but only if they're in a format it understands. A PDF statement isn't one of them. Here's how to bridge the gap, whether you're on QuickBooks Online or Desktop.

The two formats QuickBooks accepts

  • CSV — a spreadsheet of transactions. QuickBooks accepts a 3-column layout (Date, Description, Amount, where negative = money out) or a 4-column layout (Date, Description, Credit, Debit).
  • QBO (Web Connect) — QuickBooks' own bank-feed format. Import it via File → Import → Web Connect Files, or through the Bank Feeds menu.

If your bank still offers the period you need, you may be able to download CSV or QBO directly from online banking. But for monthly PDF statements — or older periods your bank no longer exposes — you'll convert the PDF first.

Step 1: Convert the PDF to a QuickBooks-ready file

  1. Upload your PDF statement to a converter.
  2. Let it extract every transaction into Date, Description, and Amount columns.
  3. Download as CSV (works everywhere) — or QBO if your tool offers it.

Step 2a: Import CSV into QuickBooks Online

  1. Go to Transactions → Bank transactions → Upload from file.
  2. Select your CSV and choose the account.
  3. Map the columns (Date, Description, Amount) when prompted.
  4. Review and import. QuickBooks will match and categorise from there.

Step 2b: Import into QuickBooks Desktop

  1. For QBO files: File → Utilities → Import → Web Connect Files, then pick your .qbo.
  2. For CSV: use the Banking → Bank Feeds import, or a CSV-import tool, and map the columns.

Common gotchas

  • Date format — match QuickBooks' expected format (often MM/DD/YYYY in the US) or it'll reject rows.
  • One amount column vs two — if you use a single Amount column, money out must be negative.
  • Duplicates — if you already imported part of the period, QuickBooks may flag overlaps; import only the new range.
